Bodyworks Yoga and Wellness Centre (“YogaPlus”, “we”, “us”, “our”) respects your privacy and is committed to protecting the personal information you share with us through this website and in the course of providing our services. This Privacy Policy explains what we collect, how we use it, who we share it with, how long we keep it, and the rights you have over it.

This policy is governed by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec’s Act respecting the protection of personal information in the private sector (sometimes called “Law 25”).

What personal information we collect

We collect only what we need to provide our services and respond to inquiries. Specifically:

  • When you fill out the booking form on our website: your name, email address, phone number (if you provide one), the service you’re interested in, your preferred date and time, and any notes you choose to write in the message field.
  • When you contact us directly by email or phone: whatever information you choose to share.
  • When you visit our website: standard server logs that include your IP address, browser type, the pages you viewed, and the date and time of your visit. These logs are used for security and to understand how the site is performing — not to identify you personally.
  • Cookies and tracking technologies: our website uses a small number of essential cookies to make features work (for example, remembering which language you’ve selected). We do not use advertising cookies or third-party trackers.

We do not knowingly collect personal information from children under the age of 14 without verified parental consent. If you believe we have collected information from a child without consent, please contact us and we will delete it.

Why we collect this information

We collect your personal information for the following specific purposes:

  • To schedule and confirm your private session, group class, or consultation
  • To answer questions you send us by email, phone, or contact form
  • To send you a confirmation email and any follow-up communications related to your booking
  • To operate, maintain, and improve the website
  • To comply with our legal and regulatory obligations (for example, tax records)

We will not use your personal information for any other purpose without your consent.

Who we share your information with

We do not sell your personal information. We share it only in these limited cases:

  • Service providers who help us operate the site or the studio. As of the effective date, these include:
  • Our web hosting provider (stores the website files and database on servers located in Canada)
  • The email service we use to send and receive correspondence (provider may be located outside Quebec)
  • YouTube — when you watch testimonial videos embedded on our Testimonials page, YouTube (a Google service) may collect information about your visit according to Google’s privacy policy
  • Google Fonts — we load typography from Google’s servers; Google may receive your IP address when fonts are downloaded by your browser. Google has stated that it does not log or store this information for ads.
  • Law enforcement or regulators if we are legally required to disclose information by a court order, subpoena, or comparable legal process.

We only share what is strictly necessary for each purpose. We require our service providers to protect your information to a standard at least equal to ours.

Cross-border data transfer

Some of our service providers operate servers outside Quebec, and possibly outside Canada. We’ve assessed these providers and are satisfied that they offer adequate protection. By using our website, you understand that your information may be processed in those jurisdictions. We will inform you separately if our data-transfer practices change in a material way.

How long we keep your information

We keep your personal information only as long as we need it for the purposes described above, or for as long as required by law:

  • Booking requests: kept for up to 3 years from the date of your last interaction with us, so we can answer questions about past sessions, refunds, or insurance claims.
  • Email correspondence: kept for up to 3 years.
  • Server logs: kept for up to 90 days.
  • Tax-related records (invoices, receipts): kept for 7 years as required by the Income Tax Act.

After these retention periods, we securely delete or anonymize the information.

How we protect your information

We take reasonable security measures appropriate to the sensitivity of the information we hold. These include:

  • Hosting the website behind HTTPS (encrypted in transit)
  • Storing data on servers protected by access controls, firewalls, and regular software updates
  • Limiting access to personal information to people who need it to do their jobs
  • Using strong passwords and reviewing accounts periodically
  • Logging out of admin sessions when not in use

No system is perfect. If a confidentiality incident occurs that creates a risk of serious injury to you, we will notify you and the Commission d’accès à l’information du Québec without delay, in accordance with Quebec Law 25.

Your rights

Under PIPEDA and Quebec Law 25, you have the right to:

  • Access the personal information we hold about you and request a copy
  • Correct information that is inaccurate, incomplete, or out of date
  • Withdraw your consent to our use of your information, at any time (this may affect our ability to provide some services to you)
  • Receive a copy of your information in a portable format so you can transfer it to another organization
  • Request the deletion of information we are no longer authorized to keep, or that you have legitimate grounds to have removed
  • Object to a decision made about you based exclusively on automated processing (we currently do not make such decisions)
  • File a complaint about how we handle your information

How to exercise your rights

Send a written request to the privacy officer named at the top of this policy. We will respond within 30 days. If we need more time, we’ll let you know why and how long we’ll need. There is no fee for accessing or correcting your information.

You may also file a complaint with:

  • Commission d’accès à l’information du Québec — www.cai.gouv.qc.ca — for Quebec privacy matters
  • Office of the Privacy Commissioner of Canada — www.priv.gc.ca — for federal privacy matters

Email and electronic communications (CASL)

When you submit the booking form, we may send you a confirmation email and follow-up emails related to that specific request. This is “transactional” correspondence and is permitted under Canada’s Anti-Spam Legislation (CASL) without your prior express consent.

We do not currently send marketing or promotional emails. If we begin offering an email newsletter in the future, we will ask for your express consent before adding you to the list, and every newsletter will include an unsubscribe link.

Changes to this policy

We may update this policy from time to time. When we do, we will change the “Effective date” at the top, and — if the changes are material — we will post a notice on the homepage for at least 30 days.
